The reason for rejection is displayed directly on the relevant receipt in the Hrmony app under the status "Receipt rejected". Here's an overview of the most common reasons.
๐ท Photo quality issues
The receipt could not be read correctly because:
- the photo is blurry
- the resolution is too low
- the image is too dark
- the receipt is heavily creased or crumpled
๐ Missing required information
The following details must be clearly legible on the receipt:
- Receipt date
- Total amount
- Item descriptions (indicating food or meals)
๐ Deadline or origin
- Receipt from a previous month: Receipts must be submitted by the end of the month they were issued. Receipts submitted after this deadline cannot be reimbursed.
- Receipt from abroad: Only receipts from Germany are eligible for reimbursement.
โ Non-eligible receipts
The following documents are rejected as a matter of principle:
- Card payment receipts or order confirmations
- Documents that are not a valid receipt
- Images containing multiple receipts โ please always photograph one receipt per image (1 receipt = 1 image)
- Receipts with no eligible items (e.g. only non-food products, alcohol, or tobacco)
- Documents from an email signature or spread across multiple files
๐ Duplicate submissions
- Each receipt may only be submitted once.
- Receipts submitted multiple times within the same company will be rejected โ unless several people genuinely shopped together and each correctly blacks out their respective portions.
๐ Non-working days & business trips
- Receipts may only be submitted for days on which you actually worked.
- Not permitted: receipts from vacation or sick days.
- Permitted: receipts from Saturdays, Sundays, or public holidays, provided you regularly worked on those days.
- On business trips, receipts may not be submitted as the per diem allowance applies instead.
